What does the tax invoice generator do?
The tax invoice generator calculates taxes by province, shows the invoice live, handles discounts, deposits, logo and numbering, in French or English, in CAD, USD or EUR, then produces a PDF.
- Automatic tax calculation based on the billing province: GST + QST in Quebec, HST in Ontario and the Atlantic provinces, GST + provincial tax in British Columbia, Saskatchewan and Manitoba, GST only in Alberta and the territories — official rates applied automatically (custom tax possible when needed).
- Live preview: you see the exact invoice while you fill it in.
- Discounts and deposits: percentage or fixed amount, deposits already received deducted from the balance due.
- French or English: the document language switches in one click, whatever the tool's language.
- Currencies: CAD, USD or EUR for clients outside Canada.
- Logo and numbering: your branding, and a number that auto-increments with each new invoice.
- Vector PDF in Letter format, crisp in print and on screen.
What must an invoice for services include in Quebec?
An invoice for services in Quebec always shows the supplier, the date and the total; from $100, your GST and QST numbers; from $500, the buyer's name and the payment terms.
Good news: under the GST and QST systems, no special invoice template is imposed (except for restaurant establishments and taxi businesses). However, Revenu Québec requires that specific information appear on the invoice so your business client can support their input tax credit claims (ITCs and ITRs). The requirements increase with the total value of the sale, taxes included:
| Information | Under $100 | $100 to $499.99 | $500 or more |
|---|---|---|---|
| Supplier's name (or business name) | Required | Required | Required |
| Invoice date | Required | Required | Required |
| Total amount of the invoice | Required | Required | Required |
| Amount of each applicable tax | QST only | Required | Required |
| Supplier's GST and QST registration numbers | — | Required | Required |
| Buyer's name (or their agent's) | — | — | Required |
| Payment terms | — | — | Required |
| Description of the property or service | QST only | QST only | Required |
Your numbers look like 123456789 RT0001 (GST) and 1234567890 TQ0001 (QST): they are what lets your business client recover their input tax credits.

In the generator, these fields are marked with an asterisk (*), with the applicable threshold in a tooltip, and tax amounts automatically appear on separate lines. The address, email and invoice number are not legally required, but remain strong business practices — the sequential number, in particular, is what accountants and auditors look at.
How do you show GST and QST on an invoice?
On an invoice, show 5% GST and 9.975% QST on two separate lines, each calculated on the pre-tax price, with your GST and QST registration numbers.
In Quebec, a business registered for the tax files collects, on most goods and services:
- GST (federal tax): 5%;
- QST (Quebec tax): 9.975%;
- for an effective total of 14.975%, each tax being calculated on the pre-tax amount (after discount).
Both taxes appear on separate lines, with your registration numbers: Revenu Québec requires the 9.975% QST rate to be shown separately from the 5% GST rate on the document attesting to the sale, and the 9.97%, 14.97% and 14.975% rates must not appear on it (publication IN-203-V). If you bill a client in another province, the place of supply generally determines the applicable tax — the tool's province selector adjusts the rates accordingly (13% HST in Ontario, 14% in Nova Scotia, 15% in New Brunswick, and so on).
To break down a tax-included amount or double-check a calculation, use our GST/QST calculator.
How do you make an invoice without tax as a small supplier?
A small supplier who is not registered invoices without GST or QST: turn off “I charge sales taxes” in the generator, and a small supplier mention is added to the invoice.
You are generally a small supplier if your total taxable sales, including those of your associates, do not exceed $30,000 in a calendar quarter, nor over the four calendar quarters immediately preceding it: GST/QST registration is then optional, and as long as you are not registered, you do not collect any tax on your invoices. The mention added by the tool, “No tax collected — small supplier (not registered)”, explains to the client why no tax appears.
Watch the threshold every quarter: if it is exceeded in a single calendar quarter, you immediately stop being a small supplier, and you must collect tax on the sale that makes you exceed it (Revenu Québec, publication IN-203-V). Who must register, and from when: see our guide to GST/QST numbers.
As soon as you stop being a small supplier (or if you register voluntarily to recover the taxes paid on your expenses), turn taxes back on, then add your numbers as soon as they are assigned — they will be remembered for all your future invoices.
Whose name goes on the invoice when you are incorporated?
When you are incorporated, the invoice goes out under the corporation's name, required on all its invoices, with its GST and QST numbers if registered: the corporation sells and reports the income.
An invoice issued by a business corporation bears its name (“Tremblay Studio Inc.”, “9999-9999 Québec inc.”): the law requires it on all its negotiable instruments, contracts, invoices and purchase orders.
Ideally add the NEQ, and the corporation's GST/QST numbers if it is registered. The corporation — not you personally — sells, collects and reports the income.
Billing through a corporation also means: limited liability (your personal assets are separate), a more credible image with clients, and the option of keeping profits taxed at the reduced corporate rate. To compare your situation, see when to incorporate in Quebec and the real cost of incorporating, or estimate the tax gap with our income tax calculator.

What are the best practices for a professional invoice?
A professional invoice is numbered in sequence, sets a clear due date, asks for a deposit on larger mandates, states the payment method, and is kept for at least six years.
- Number sequentially (001, 002, 003… or 2026-001): never the same number twice, no unexplained gaps — that is what tax authorities and accountants look at.
- Set a clear due date: "net 30 days" is the norm; "due on receipt" for small amounts. An invoice without a deadline is an invoice paid late.
- Ask for a deposit (25 to 50%) on larger mandates: the tool deducts it and shows the remaining balance.
- State the payment method: an Interac e-Transfer with the email address right on the invoice speeds up payment.
- Keep your invoices for at least six years: registers and supporting documents are kept for six years after the end of the last year to which they apply, longer if you file a notice of objection or are a party to an appeal (Revenu Québec, publication IN-203-V). The downloaded PDF files easily by year.
- Stay consistent: same template, same logo, same terms from one invoice to the next — that is what reads as "established business" rather than "weekend project".
Frequently asked questions
Is the invoice generator really free?
Yes: no account to create, no invoice limit, no watermark over your amounts, and the PDF downloads at no cost.
Is my billing data sent to a server?
No. Everything happens in your browser: the invoice, the PDF and your draft (contact details, logo, tax numbers) stay on your device, saved locally for your next invoices.
Can I make an invoice in English or in another currency?
Yes, in addition to the French version: in Quebec, invoices must be drawn up in French, and a version in another language may be sent only if the French version is available to the client on terms at least as favourable (Charter of the French language, s. 57). The generator switches the document language in one click, and the currency can be CAD, USD or EUR.
